As one of the largest horror and paranormal conventions in the country, we rely on passionate fans like you to make the weekend unforgettable for attendees, guests, and vendors alike.

As a volunteer, you'll have the opportunity to work behind the scenes, assist with panels and celebrity signings, help with vendor areas, manage event logistics, and ensure that everything runs smoothly. Volunteer Information

Team Assignment & Availability

  • Assist with preparation and execution of on-site and off-site entertainment and celebrity events. Hours may be outside of regular convention hours.

  • Sit with our celebrity guests and assist with associated booth tasks and duties requested of the celebrities and leads. This area is open to returning volunteers in good standing only and requires full availability.

  • “Customer Service” based role involving receiving and distribution of amenities and materials to our guests and Staph. May include some driving.

  • “Customer Service” forward facing role of helping our attendees navigate the convention floor, activity times and locations, and outside events.

  • Includes media check-in, film festival, photography, videography, black carpet event, and social media.

  • “Customer service” forward facing role assisting our attendees with their purchases of souvenir items. Duties can include packing and unpacking, setup, and sales. Pre-convention hours may be available.

  • High movement job (physical). Handles errands and other tasks between teams.

  • The eyes and ears of our event. Checking admission credentials, watching over entry and exit areas, the vendor floor, and line management both inside and outside the convention hall.

  • Security for Stars Row area. Front-line security for the guests and attendees in this area. They answer questions, manage lines, and escort celebrities as needed. This area is open to returning volunteers in good standing only and requires full availability.

  • Assist and oversee our seminar and panel area throughout the weekend.

  • Helps resolve issues with the artists that may occur before, during, or after convention hours. Monitor area for guest health and safety. Most Staph in this area hold a Bloodborne Pathogen certification.

  • “Customer service” forward facing role assisting our attendees with their purchases of tickets and admission processing. Pre-convention hours are available.

  • Transporting and delivery of people and items. Must have reliable/clean vehicle, valid driver’s license, and current insurance. You will need to provide copies of these documents.

  • “Customer service” role assisting our vendors with check-in and answering questions/resolving issues. Pre-convention hours are available including Thursday.

  • Handles applications, collects attendance at meetings, hands out Staph shirts and wristbands, and check-in and check-out of Staph during event. Handles Staph issues that may arise during the convention. May include hours outside of convention.

Hours of Availability - Please indicate the hours you are available to volunteer each day.  This is only the hours you are available, not your schedule.  Your schedule will be planned by your team lead based on the hours indicated below.

Please Note: A minimum of 16 hours of  convention availability is required. Failure to schedule a minimum of 16 hours of availability may result in your application to volunteer being denied.   Failure to work all scheduled hours may affect future volunteer opportunities.

ScareFest Weekend Volunteer Team Policies & Procedures

1. Introduction
Welcome to the ScareFest Weekend Staph! This document outlines the policies and procedures to ensure a smooth and successful event. All volunteers are expected to adhere to these guidelines to maintain professionalism, safety, and efficiency.

2. Code of Conduct
Treat all attendees, staff, and fellow volunteers with respect and kindness.
Arrive on time for your shifts and check in at the Volunteer table and with your team lead.
Follow all instructions given by event supervisors and team leads, even if they are not the lead for your team.
Report any safety concerns or incidents to your team lead or central dispatch immediately. (team lead or central dispatch)
Abstain from using drugs or alcohol before or during your shift. Any appearance of impairment will be grounds for dismissal.
Maintain confidentiality regarding any sensitive event information.
Embrace the spirit of ScareFest Weekend and contribute to an exciting and immersive experience for guests.

3. Roles & Responsibilities
Volunteers will be assigned specific roles. , such as Examples may include registration, crowd management, assisting guests, clean-up, or other duties as assigned.
Some roles may involve engaging with guests in a themed or interactive manner to enhance the ScareFest experience.
Each volunteer must complete their assigned duties before leaving their shift or notify their team lead if unable to do so.
If unable to attend a shift, notify your team lead and the Volunteer Coordinator as soon as possible.

4. Dress Code
Wear the official ScareFest Weekend volunteer T-shirt and a name badge at all times while on duty. During your shift, you are required to wear your Staph shirt or other shirt as designated and your Staph badge. Do not wear your volunteer shirt while off duty. Do not have celebrities sign your volunteer shirt.
Dress appropriately for the spooky and festive nature of the event.
Costumes may be permitted for certain roles but must be approved by the event organizers.
Costumes are not permitted unless approved in advance by the event organizers.
Closed-toe shoes are required for safety reasons.
Personal hygiene, cleanliness, and a tidy appearance are required.

5. Health & Safety
Follow all emergency procedures as outlined during orientation.
Report any injuries or hazards to the event staff a team lead or event management immediately.
Stay hydrated and take breaks as needed ask your team lead for a break if needed.
Be aware of potential guest reactions to scares and assist those in need.

6. Communication
All volunteers should join the designated communication channel (email, group chat, or event app) for updates prior to and during the event.
Direct any questions or concerns to your team lead or the Volunteer Coordinator.

7. Termination of Volunteer Duties
Failure to adhere to these policies may result in dismissal from volunteer duties.
Disrespectful or unsafe behavior will not be tolerated and may result in dismissal from volunteer duties.
Any behavior that disrupts the immersive experience of ScareFest may result in reassignment or removal from volunteer duties.

8. Safety & Emergency Procedure
In case of an emergency, remain calm and follow instructions from event supervisors and emergency personnel.
Locate and familiarize yourself with emergency exits, fire extinguishers, and first aid stations.
If you witness a medical emergency, immediately notify event staff or medical personnel.
In case of an evacuation, follow designated exit routes and assist attendees as needed.
If a guest becomes distressed or frightened, provide reassurance and seek assistance if necessary.
Report any suspicious activity or safety concerns to security or event staff immediately.

Volunteer Non-Disclosure Agreement (NDA)

ScareFest Weekend

As a volunteer for ScareFest Weekend, you may have access to information that is not available to the general public. This information may include, but is not limited to:
Guest or vendor details before public release
Event schedules and internal planning documents
Security procedures
Volunteer assignments or private communications
Marketing or promotional strategies
Personal information of attendees, guests, or other volunteers

By participating as a volunteer, you agree to the following:

1. Confidentiality
You will not share, discuss, or distribute any confidential or sensitive information obtained through your volunteer role, unless you are authorized to do so by ScareFest management.

2. Media & Social Media
You will not post, share, or disclose confidential event details or behind-the-scenes content on social media or with the press unless pre-approved by ScareFest management.

3. Ongoing Obligation
This obligation to maintain confidentiality continues even after your volunteer role ends with ScareFest Weekend.

4. Return of Materials
If you receive any documents or materials that contain confidential information, you will return or delete them if asked by ScareFest management.

5. Breach of Agreement
Violating this agreement may result in removal as a volunteer and/or being barred from future ScareFest events. In serious cases, legal action may be taken.

By continuing in your role as a volunteer, you acknowledge that you understand and agree to the above terms and conditions.
